Estimate generator

An estimate gives a customer a realistic idea of the cost when the job is not fully defined yet. List the work and materials, and the estimated total adds up as you type.

What goes on an estimate

  • Your business name and contact details
  • The customer the estimate is for
  • An estimate number and date
  • A valid-until date
  • Each part of the work with quantity and rate
  • The estimated total
  • A note on what could change the final price

Estimate or quotation?

An estimate is your best guess at the cost and can change. A quotation is a fixed price. Use an estimate when you cannot know the final amount yet, as with repairs, building work or hourly jobs.

When the scope is settled, use “Make a quotation” to fix the price, or “Make an invoice” once the work is done.

Questions

Is an estimate binding?
Usually an estimate is understood as approximate, but what it commits you to depends on your wording and the law where you work. Say clearly in the notes that the final price may differ, and why.
Should an estimate show tax?
Showing tax avoids a surprise later. If the estimate leaves tax out, say so in the notes.
