Polite Payment Reminders: Three Templates and a Simple Follow-Up Routine
An unpaid invoice does not always mean a customer is refusing to pay. It may be waiting for approval, sitting in the wrong inbox or missing a purchase-order reference. A short reminder that identifies the invoice and asks a clear question can help you find the next step.
The messages below are editable examples. Replace the placeholders and use the payment terms you actually agreed with the customer.
Check the record before sending a reminder
Confirm the invoice number, due date and outstanding balance. Check for a recent payment or partial payment, and make sure the customer received the correct document. If the amount is disputed, address that issue instead of repeatedly requesting the original total.
Keep a small log with the invoice reference, amount outstanding, last contact date, customer reply and next action. A record of promised payment dates is more useful than a collection of messages with no follow-up plan.
1. Before the agreed due date
Use this when a friendly advance reminder would be helpful. There is no universal schedule: choose timing that suits the agreed terms and your relationship.
Subject: Invoice [number] — due [date]
Hi [name],
A quick reminder that invoice [number] for [currency and amount] is due on [date]. I have attached the invoice again for convenience.
Please let me know if your team needs any additional details to process it.
Thank you,
[your name]
2. After the due date
State the outstanding balance and ask for a specific update. Avoid adding an unagreed fee or implying a legal consequence in a routine reminder.
Subject: Payment update for invoice [number]
Hi [name],
Our records show [currency and outstanding balance] remains unpaid on invoice [number], which was due on [date].
Could you confirm the expected payment date? If payment has already been sent, please share the reference so I can check and update our records.
Thank you,
[your name]
3. When you need to identify a processing issue
Subject: Help processing invoice [number]
Hi [name],
I am following up on invoice [number]. Is anything holding up approval or payment, such as a missing reference or a billing-detail correction?
Please let me know the right contact and the next step. I can resend the document if needed.
Thanks,
[your name]
Keep follow-up consistent and personal
Reply in the same email thread where possible. Attach the correct invoice and verify payment details before sharing them. If someone gives a payment date, record it and follow up in context rather than restarting the conversation with a generic message.
Some invoicing systems support automated customer emails. Stripe's documentation describes configurable emails during the invoice lifecycle. That does not mean reminders are enabled in OwnInvoice or that every platform has the same settings; check your chosen system before relying on automation.
Close the loop when money arrives
Reconcile the payment reference and amount, update the balance, and stop reminders once the invoice is settled. If payment is partial, acknowledge what arrived and clearly state what remains. For an unresolved dispute, agree on the next discussion rather than escalating the tone of each email.
